A booking system is a flow that shows open slots, accepts customer appointments, locks that time, and sends reminders without an admin who replies to each message. A service business can use 4 types: a free booking page, a subscription booking app, booking through WhatsApp, and a custom system.

In Indonesian, people search for "sistem booking". The term means the same thing as "booking system".

A booking system is different from a contact form. A form only records a request, but a booking system locks the selected time. The definition and the 5-step flow are in our guide to booking systems as automated reservations.

What are the types of booking systems?

Booking systems have 4 types, based on where the customer books and who controls the slot rules.

TypeHow the customer booksGood forMain limit
Free booking pageOpens 1 link, selects a slot, then types a name and email1 person with 1 type of serviceTeam features, reminders, and payments often need a paid plan
Subscription booking appOpens a booking page with many services and staffA clinic, salon, or studio with 2 or more staffA monthly cost for each staff seat, usually in US dollars
Booking through WhatsAppSends a chat, then selects a slot from a link or a form in the chatCustomers who ask about schedules in chat, not on a websiteMust connect to 1 calendar to keep the slot locked
Custom systemBooks on a website or app that the business ownsSpecial rules: rooms, equipment, deposits, or many branchesThe highest build cost and build time

Start with the simplest type. Move to the next type only when the limit of the current type stops your work.

How much does a booking system cost at the start?

A booking system can cost USD 0 at the start for 1 person, because 3 popular services have free plans with different limits.

We read the official pages of these 3 services on 6 November 2026. Prices are in US dollars and can change, so check the source page before you buy.

The Google Help page also names payments through a Stripe account and up to 5 reminders for each appointment. Some of these features can need a subscription, so check the Google premium feature table for your account. Other free paths and their stop points are in our article on free booking systems.

How do you choose a booking system type?

Choose a booking system type from 3 data points: the staff who accept appointments, the channel where customers ask, and special slot rules.

Illustration: 3 data points, the staff count, the chat channel, and the slot rules, select 1 of the 4 booking system types.
  1. Count the staff or resources that have their own schedule. For 1 person, start with a free booking page.
  2. Count the appointments that come in through chat for 7 days. Our rule: if more than half come from WhatsApp, set up booking through WhatsApp.
  3. Write the slot rules that a standard app cannot set. Examples: 1 room for 2 services, a deposit, or a gap to sterilize equipment.
  4. Test a subscription app during its free trial before you pay. The Cal.com pricing page names a 14-day free trial for the Teams plan.
  5. Select a custom system only if 2 apps that you tested cannot set the rules from step 3.

When does booking through WhatsApp make sense?

Booking through WhatsApp makes sense when your customers ask about prices and schedules in chat, not on your website.

Chat alone does not lock a slot. An admin still checks the calendar, and 2 customers can get the same time. Connect the chat to 1 source calendar, then send a booking link or a slot form in the chat.

Our guide to WhatsApp booking reminders and calendar sync shows the setup. If you want chat, calendar, and reminders to run without an admin who copies data, see our AI business process automation service.

How do you test a booking system before use?

Test a booking system with 5 real tries before you share the link with customers.

  1. Book 1 slot from a phone without a login.
  2. Book the same slot from a different device. The second try must fail.
  3. Cancel the appointment, then make sure that the slot opens again.
  4. Move the appointment, then check for a new confirmation in email or chat.
  5. Export 1 week of appointments. Make sure that you can take customer data with you if you change apps.

The full test list is in our guide to choosing and testing a booking system and our 12-point checklist for booking systems.

Questions and answers

Is "sistem booking" different from "booking system"?

No. Both terms name a flow that accepts appointments, locks the slot, and sends a confirmation. "Sistem booking" is the Indonesian term for booking system.

Can a small business use a free booking system?

Yes, for 1 person with simple services. Calendly Free gives 1 event type, and Cal.com Individuals gives 1 user. For 2 or more staff, you need a team plan.

Must customers have an account to book?

Not always. In Google Calendar, people without a Google Account can request an appointment. You can send them an email verification code, according to Google Help.

Can a booking system decrease no-shows?

Reminders and reschedule links help customers act before the appointment time. Measure the effect with your own no-show data for 4 weeks before and after the setup.

Operational conclusion

Write down your staff count, your main chat channel, and your special slot rules today. Start with a free booking page for 1 person. Move to a team app, WhatsApp booking, or a custom system only when the limit of the current type stops your work.
