AI Workflow Audit: 3 work lanes and the manual work to automate first
// problems we solve
Problems we often find.
Your team stays busy all day, but finished work does not grow.
We map the workflow of each division as a swimlane diagram, then mark the manual, repeat tasks that eat the most time.
Every division asks for automation. You do not know which one to fund first.
We score each use case on 3 measures: install effort, data risk, and hours saved per week. The result is 1 ranked list you can defend.
Some customer and finance data must stay inside your office.
We write the data rules first. A task that touches restricted data gets a local path or a hold, not a forced automation.
You worry about paying for an installation that turns out not worth it.
The audit scores effort and impact for each use case before you pay for installation. A "not ready yet" result stays in the report too.

Kick-off and data collection
You send the daily task list for each division, a time estimate per task, and your data rules. We set the divisions in scope and the people to interview.
Output: A first task list and an interview schedule.Interviews and workflow mapping
We interview each workflow owner, about 45–60 minutes per person, then draw a swimlane diagram that marks bottlenecks and repeat manual tasks.
Output: 1 workflow diagram per division, with manual tasks marked.Effort, risk, and impact scoring
We score each use case for install effort, data risk, and weekly hours saved. A task that touches restricted data gets a note for a local path.
Output: A priority matrix of use cases, with scores and reasons.Presentation and roadmap brief
We present the result to the decision-maker, take corrections, then write a roadmap brief. The brief covers the first 1–3 use cases, data needs, and a cost estimate from the price list.
Output: A PDF audit report, a priority sheet, and a 1–2 page roadmap brief.// what you get

Ground rules
- Revision: 1 correction round on the report after the results presentation. Extra rounds go in a separate written quote.
- Rescheduling: you can reschedule an interview up to 1 working day before it starts. A cancellation after an interview starts counts as work performed.
- Data and access: we read your workflow, not your customer data. Data you send stays your property, and we delete it from our work tools after handover.
- Warranty limit: we guarantee the deliverable (report, priority matrix, brief), not saved hours or cost. The audit does not guarantee automation.
What we guarantee
- We answer your message within 24 hours on a working day.
- Accounts, code, and data stay in your name from day 1.
- Every handover includes a test report or written notes.
- No renewal fee to Rama Digital. You pay domain, hosting, and third-party subscriptions to the vendor directly.
- A fixed price on this page is the price we invoice. A "From" price becomes fixed in the written quotation you approve.
// is this for you
Good fit for
- You have many manual tasks and want to know which ones suit AI.
- You need a priority order before you pay for installation.
- You have 2 or more teams with different ways of working.
Not a fit for
- You only need 1 short session. Choose AI Diagnostic.
What you prepare
- A list of the daily tasks in each division.
- An estimate of the time each task takes.
- The rules for data that must stay inside the office.
What the price excludes

A Rama Digital article of 6 September 2026 (updated 9 September 2026) states that AI operating cost covers tokens, human time, errors, integration, and support. This cost must be counted in total per task.

The formula: (input tokens × input price + output tokens × output price) ÷ 1,000,000. The article also asks for measurement from 20 real examples, including failure and retry rates.

Terms we use.
- Workflow
- A workflow is the sequence of steps from one request to a finished result, including who does each step. The audit draws it as one swimlane diagram per division.
- Use case
- A use case is one specific task you give to AI, for example a daily inbox summary. The audit scores effort, risk, and impact for each use case.
- Agentic
- Agentic work means an AI agent runs a routine task, then a staff member checks and approves the result. The audit marks which steps stay with a person. See in the glossary
- AI agent
- An AI agent is a program that runs a task step on its own, inside limits you set. The audit decides which task is ready for an agent first. See in the glossary
FAQ
What is AI Workflow Audit?
AI Workflow Audit is a 1–2 week workflow audit from Rama Digital. We map the manual tasks in each division, then score each AI use case for effort, data risk, and impact. You get one written priority list, not an installation. The fixed price is IDR 6M.
How does AI Workflow Audit differ from AI Diagnostic?
AI Diagnostic is one 60–90 minute session at IDR 1.5M. It answers one question: where to start. AI Workflow Audit runs 1–2 weeks at IDR 6M. It follows the real workflow in each division and scores every use case for effort, risk, and impact. Pick Diagnostic for a first answer. Pick Audit for a full, ranked priority list before you pay for installation.
Who needs to join the audit?
The audit needs the owner or the main decision-maker, plus the person who runs each division you audit. Each workflow owner joins one 45–60 minute interview. Your IT team does not need to join, unless the workflow touches a system they run. The owner joins the final presentation to approve the priority list.
How many hours of my team time does the audit need?
Each workflow owner spends about 1 hour on an interview. All workflow owners join one shared results presentation, about 1 hour. You send the daily task list in Day 1–2 through a written form, so no extra meeting is needed. Your team time stays small next to the value of a 1–2 week audit.
How many divisions does IDR 6M cover?
The catalogue sets no fixed number of divisions for IDR 6M. The team agrees the division scope at kick-off, in Day 1–2, based on the task list you send. If you add more divisions than agreed at kick-off, the extra time and cost go into a separate written quote before work continues.
Does the audit guarantee automation?
No. The audit picks each use case from real data, not from a promise. You get a written priority list with reasons, including a "not ready yet" result when that is the honest answer. Installation runs as a separate service, for example AI Agent Ops Install at IDR 7.5–25M, after you approve the chosen use case.
How is sensitive data handled during the audit?
We read your workflow, not the content of your customer or financial data. On Day 1, you write the data rules that must stay inside your office, and those rules filter every use case we score. Data you send for the audit stays your property. We delete it from our work tools after we hand over the report.
What do I receive at the end of the audit?
You get an 8–12 page audit report with a workflow diagram for each division and a priority matrix. You also get an editable priority sheet and a 1–2 page roadmap brief for the first 1–3 use cases. It also includes one shared results presentation with our team, to walk through every point before you decide the next step.
What comes after the audit?
If you need a 30–90 day schedule with milestones and a named owner, the next step is AI Implementation Roadmap at IDR 15M. If one use case is already clear and ready to run, you can order AI Agent Ops Install directly. The price is IDR 7.5–25M, without a roadmap step first.
// next step
Measure first, then install.
Send the daily task list for each division. We reply within 24 working hours with the audit scope, a kick-off date, and a written IDR 6M offer.
